Job Responsibilities:

  • Build and maintain effective relationships with internal teams and stakeholders and develop understanding of the wider context of the British Council’s work and varying priorities.
  • Responsible for maintaining physical and electronic documents and to file or shred documents and archive as appropriate.
  • Assisting with the Chief Executive and Chairman’s Office external and internal communication, including but not limited to the updating of information on both the internal and external websites, the management of physical mail and a central CEO office email account.
  • Managing the CEO office mailbox by organising external party correspondence including but not limited to events invitations, meeting requests and sales and marketing calls correspondence.
  • Providing consistent cover or ad hoc support within the CEO & Chairman’s Office where necessary, including for Executive Assistants to the CEO and the Chairman.context
  • Responsible for updating CRM with partner/leads contact details, meeting outcomes, correspondence, and any follow-up activity.

Job Requirements:

  • Ensuring that all office processes use British Council systems and follow appropriate policy.
  • Management of the issuing and processing of expenses for Chief Executive, Deputy Chief Executive, Chairman and Trustees, supporting financial reporting, budget control and financial record management.
  • Leading on the preparation of expenses of SLT and Board of Trustees for external publication every quarter.
  • Order goods and services in line with corporate procurement by raising purchase orders, goods receipting them and processing invoices to facilitate payments to vendors.
  • Proactively support Executive Assistants to the Chief Executive, Deputy Chief Executive, Chairman and Board of Trustees with administrative and logistical support for their meetings and events.
  • Support / lead (depending on size of meeting or event) on internal logistics, including but not limited to arranging meeting rooms, venues and catering (including doing or sourcing catering where required), meeting & greeting, and ensuring that all technical aspects (teleconferences, VCs, webinars) are arranged in a timely manner.
  • Responsible for overseas and UK travel arrangements and administration for the Chief Executive, Deputy Chief Executive, Chairman and Trustees including but not limited to booking flights, arranging visas, transportation and preparation of travel packs.
  • Contributing to the Diversity Assessment Framework for Corporate Affairs, as well as other corporate requirements.

Qualification & Experience:

  • Excellent communication skills – both verbal and written. Writes clearly, in a style suited to purpose and with the needs of the reader in mind.
  • Track record of office administration in busy, complex and complicated environments, prioritising multiple tasks and deadlines.
  • Experience of working effectively with individuals at all levels (particularly senior leaders), both internally and externally.
  • Knowledge of Financial Systems including SAP, Concur or similar
