Job Description:

You will work alongside another PA/Divisional Administrator (O.6 FTE Monday-Wednesday) to provide support to the Director (who is also the FCA Company Secretary), and the Divisional Leadership Team (DLT) to deliver the Corporate Governance Mission. Job Responsibilities:

  • Support divisional recruitment, on-boarding and induction (including the onboarding of Non-Executive Directors)
  • Prepare DLT meeting agendas and record and track agreed actions from their meetings. Manage presenters including arranging suitable time slots and sharing any papers with the DLT in advance of the meeting
  • Work alongside the Director and DLT to ensure that the division’s headcount and budget are tracked and managed efficiently, including managing invoices, purchase orders and expenses for the Director and division
  • Coordinate the divisional PBS team to ensure that a professional level of support is provided across the division
  • Provide additional administrative resource for the division
  • Organise divisional events, and produce divisional communications (including intranet pages), to help the division deliver its objectives
  • Manage all information and FOIA requests received by the division, liaising across the division and co-ordinating responses within strict deadlines
  • Records management lead for the division
  • Act as a professional point of contact and link for the Director, which includes liaising with senior management, external stakeholders and their offices, face to face and on the telephone
  • Manage the Director’s diary to ensure that commitments are managed smoothly, and prioritised appropriately; including ensuring travel plans, briefing requests and papers are arranged where appropriate
  • Monitor the Director’s inbox, ensuring actions are recorded, tracked and delivered in a timely manner

Job Requirements:

  • Assist with the annual attestation process
  • Provide administrative support to the Conflict of Interests Policy Team Associate by monitoring the CoI mailbox and responding to queries
  • Oversee the management of Gifts and Hospitality across the organisation, running a quarterly gift audit and managing the distribution of gifts to the Charity Committee
  • Coordinate the quarterly publication of gifts and hospitality and diary engagements for Board and Executive Committee members
  • Exposure to senior management, decision-making committee members, panel members and non-executive directors and senior external stakeholders
  • An overview of the FCA from a central division – a great opportunity to learn and expand internal knowledge

Qualification & Experience:

  • Experience of working confidently and effectively with a wide range of senior internal and external stakeholders
  • Excellent communications skills, which can be adapted to meet the needs of your audience
  • Flexibility to adapt and react to changing circumstances, reprioritising as necessary; willingness to take on new tasks and responsibilities
  • Ability to work calmly under pressure, and to tight deadlines, while maintaining attention to detail
  • Team player with the ability to work on own initiative, be proactive, and influence others
  • Ability to maintain security, trust and confidentiality of information
  • Experience of providing high-quality administrative support to a senior individual, including mailbox and diary management
  • Experience of working with Microsoft Office applications
