ROYAL COLLEGE OF PHYSICIANS

Salary: £23,410 – £25,954 per annum

The Federation of Royal Colleges of Physicians of the UK has a vacancy for a CPD administrator. The Federation of the Royal Colleges of Physicians based in the UK and with international reach, is a collaboration between the:

The Federation’s purpose is to support the three colleges in delivering core shared services to support the training, examination, and continual development of physicians.

We are seeking to appoint a new administrator. The Continuing Professional Development (CPD) team deliver initiatives that effect a continual improvement in the level of education for physicians. You will be responsible for tasks to support the CPD diary and CPD approval services. You will work closely with the current team reporting to the CPD & ePortfolio Manager and working alongside one other CPD administrator.

Your major responsibilities will include:

Service delivery and collaboration

  • Assisting in ensuring that the CPD scheme is ‘fit for purpose’ and that the CPD diary and CPD activity approval services offer an excellent standard of service to Fellows and Members meeting our departmental objectives.
  • Working closely to support other members of the team, answering customer queries and providing guidance and information. Ensuring all communications, including enquiries by email and phone, are replied to accurately and meet quality assurance standards.
  • Supporting the Associate Director of CPD, including helping with their calendar, meetings, event bookings and travel bookings.
  • Maintaining a good relationship with our bank of CPD reviewers and scheduling reminders for them to review applications.
  • Supporting the formulation, communication and implementation of CPD policy.
  • Co-administering the European application process and ensure EACCME approved events are uploaded onto the CPD system in a timely manner.
  • Actively identifying technical improvements for the service working with CPD team members and involving the I.T team when necessary.
  • Producing reports, gathering and presenting data for senior managers and clinicians.
  • Taking minutes at selected CPD meetings.
  • Updating web sites, correspondence templates and guidance documents.
  • Supporting the CPD team to develop and implement quality assurance of operational processes.
  • Working with specialist societies and relevant specialist boards to recruit approvers for CPD.
  • Process and review standard operating procedures.
  • Working on projects to develop and enhance the CPD scheme when required.
  • Supporting the CPD & ePortfolio Manager in finance and budgeting processes when required.
  • Accurately updating databases, process payments and expenses, maintain accurate filing systems, handle correspondence and perform general administrative duties.

Governance

  • Organise selected CPD meetings ensuring appropriate preparations and follow up requirements are made in time.
  • Provide support to the CPD Team, CPD Manager, Associate Medical Director for CPD as well as colleagues in the Federation when required.

Any other additional responsibilities:

  • Any other duties as may be reasonably expected and which are commensurate with the level of the post.
  • Adhere and comply with the provisions of the College’s Health and Safety Policy.
